Choose a Power BI consultant by scoring three things before price: how they build the data model, what proof they can show, and what you are left with at handover. Location matters far less than those three, because the best work happens remotely whether you are in Dubai, London, Ohio, Washington DC or Ahmedabad.
Below is a scorecard you can copy, the questions that fill it in, and how to handle time zones.
How do you score Power BI consultants fairly?
Write the criteria and weights down before the first call, so the loudest sales pitch does not set them for you. Here is a scorecard with five criteria and weights that add to 100. Scores run from 1 (weak) to 5 (strong).
| Criterion | Weight | Offer A | Offer B | Offer C |
|---|---|---|---|---|
| Data model approach (star schema, definitions) | 25 | 5 | 3 | 4 |
| Proof (relevant work you can verify) | 20 | 4 | 3 | 5 |
| Handover (documentation, training, support) | 20 | 3 | 5 | 4 |
| Working-hours fit with your team | 15 | 4 | 2 | 5 |
| Price clarity (what is and is not included) | 20 | 2 | 4 | 3 |
| Weighted score out of 100 | 100 | 73 | 69 | 83 |
Each total is the sum of weight times score, divided by 5. For Offer A: (25x5 + 20x4 + 20x3 + 15x4 + 20x2) / 5 = 365 / 5 = 73. Offer C wins at 83 even though it is not the cheapest, because it is strong where failures are expensive. The numbers are made up; the method is what to copy.
What should you ask about the data model?
Ask them to describe the model they would build for your data before they build it. A good answer names the fact tables and the dimensions, says what one row of each fact table represents, and explains how they will keep one definition of each measure. If the answer is about charts, keep looking.
Then ask what they would refuse to do. A consultant who never pushes back, for example on switching relationships to both directions to make a visual work, is optimising for a quick demo and not for your reports a year from now.
What proof should you ask for?
Ask for one project close to your problem, described as the problem, the method and the measured result. Treat vague claims as zero. Ask who did the work, because an agency can show a portfolio that the person you meet never touched. Ask for a reference you can contact, or a walk-through of a real model with client data removed.
My own flagship case is automotive: analysts spent 60% of their time preparing data, and monthly reports took three to five days before the data layer was rebuilt on a star schema with refresh every 15 minutes. That is the shape of proof to ask any provider for: a baseline, a method and a result.
Does it matter where your consultant is?
Less than the scorecard criteria, but working hours matter, so score them. From Ahmedabad, India, the overlap with common regions runs roughly like this, and clocks change twice a year:
| Your location | Overlap with India hours | How work runs |
|---|---|---|
| Dubai or Abu Dhabi | Nearly the full day (1.5 hours behind) | Live calls any time in the working day |
| Riyadh | Nearly the full day (2.5 hours behind) | Live calls any time in the working day |
| London | About 4 hours | Calls in your afternoon, build work overnight |
| US Eastern (Washington DC, Ohio) | Thin: your morning is India's evening | Daily hand-off plus one short call |
A thin overlap is not a problem if the work is organised for it: a written plan each day, one call at the overlap, and decisions recorded in writing. It becomes a problem when every question waits a full day. Ask any remote provider how they run a week, and what happens on the days you cannot meet.
What should you be left with at the end?
Documentation of every measure, the refresh schedule and who is told when it fails, a recorded walkthrough for the next developer, and training for the people who use the reports. Ask what support follows launch, and what it costs after that. I plan every project as discovery, data layer, dashboard build and handover, followed by 30 days of post-launch support. Licensing, infrastructure and change requests are quoted separately, which is a fair thing to ask any provider to do.
The business intelligence service page shows how a project is scoped, from discovery to handover.
What is the short version?
Score the data model, the proof and the handover first, give working hours their own line, and compare offers on the weighted total, not the headline price. Write the scorecard before the first call and keep it for the decision.
Frequently asked questions
How do I choose a Power BI consultant?
Score them on five weighted criteria: data model approach, verifiable proof, handover, working-hours fit and price clarity. Write the weights before the first call. Compare offers on the weighted total, and ask each provider to describe the model they would build, not the dashboard.
Should I hire a local Power BI consultant?
Not necessarily. Most Power BI work is modelling and reporting that runs remotely over secure access. Local presence helps for workshops, and a remote consultant can still run those by video. Score working-hours fit instead of assuming a local firm is better.
What does a Power BI consultant cost?
It depends on scope, so ask for a price that separates the build from licences, infrastructure and change requests. In India, focused dashboards are typically INR 1.5L to 3L and full BI ecosystems with ERP integration INR 5L to 15L. Prices in other regions differ, so compare scope line by line.
Freelancer or consulting firm?
A freelancer gives direct access to the person doing the work and usually a lower price. A firm adds cover for absence and a wider skill set. Either works if the scorecard says so. Ask who will actually build your model, and who covers them.
How do I check a consultant's proof?
Ask for one project close to your problem as a baseline, a method and a measured result. Ask who did the work and whether you can speak to the client. A walk-through of a real model, with client data removed, is stronger than a portfolio of screenshots.
